Billing and Payment Information at Our Practice
At our practice, we strive to provide the highest quality care while ensuring our services are accessible to all patients. We are a mixed billing practice, and we are proud to continue bulk billing consultations for the following eligible patients with a valid Medicare card:
- Children under 16
- Centrelink Pension and Concession card holders
- Aboriginal and Torres Strait Islander peoples (ATSI) registered with us under the “Close the Gap” initiative
- Department of Veterans Affairs (DVA) card holders
- Flu immunisations (when no other medical matters are discussed)
- Care Plans (Mental Health & EPC) and Health Assessments
Standard Consultation Fees:
- Standard consultation: $65 (after hours: $80)
- Extended consultation: $110 (after hours: $120)
Medicare rebates are available for these services. Please feel free to ask our reception team about the current rebate amounts. If your Medicare account details are registered, we can charge your account directly and process the Medicare rebate quickly—usually within 24-36 hours.
How We Make Payment Easy:
To make the process as convenient as possible, we request payment at the time of consultation for all private patients. We accept cash, EFTPOS, and all major credit cards (Visa, MasterCard). For Telehealth consultations, we kindly ask for payment to be made upfront over the phone.
Transparency and Fair Pricing:
We believe in full transparency regarding any additional costs. While our standard consultation fees cover most services, additional out-of-pocket costs may apply for specific treatments such as wound dressings, minor procedures, pap screens, transfer of full medical records and forms/documents. Rest assured, your Nurse or Doctor will inform you of any extra charges in advance, ensuring you’re fully aware of any costs prior to your appointment or procedure. Allied Health Fees
For information regarding Allied Health provider fees, please inquire at our reception. We are happy to provide detailed information and assist with any questions you may have.
Cancellation/Missed Appointments Fee Policy
At Westmeadows Medical Centre, we value your time and strive to be available to all our patients. If you are unable to attend your scheduled appointment, we kindly ask that you cancel or reschedule as soon as possible. You can easily manage this through your HotDoc confirmation email/SMS or by calling our reception at (03) 9338 2305.
To avoid a cancellation fee, we request that you provide at least two (2) hours’ notice. If an appointment is missed or cancelled with less than two hours’ notice, a non-attendance fee of $20 will apply. Please note, if this fee is not settled, you will not be able to make further appointments.
We appreciate your understanding and cooperation, as this allows us to serve all our patients efficiently.
Transfer of Your Medical Records to Another Clinic
Please note that we require a signed patient consent for the transfer of health records. This consent ensures that your records are shared with the appropriate parties in accordance with privacy regulations.
To process your request for transferring your full medical records to another clinic, a $40 administrative fee will apply. This fee covers the necessary paperwork and handling required for the transfer.
